Resonant Records collects only information reasonably needed to operate the public website, artist platform and private member hub. We use essential cookies, do not use advertising or cross-site tracking cookies, do not sell personal information, and do not show your email publicly unless you deliberately publish it as a contact method. You may ask us to access, correct or delete eligible information through the contact form.
Who we are
Resonant Records is an independent record label and artist community. This policy explains how the website and member platform handle personal information. Use the contact form for privacy questions and requests.
What we collect
Google sign-in
When you sign in with Google, we may receive your name, email address, Google profile image and Google account identifier. Google is used to authenticate you. We never receive or store your Google password. Signing in does not automatically create or publish an artist profile.
Accounts and access
We may store account creation and login dates, account status, assigned capabilities, notification preferences, security status, moderation status and internal administrative notes where required.
Public artist information
Approved artists may provide an artist name, images, biographies, genres, public location, platform links, videos, tracks, booking information, public contact details, merchandise links, posts, releases and announcements. Published information may be publicly visible and indexed by search engines. Do not place information in public fields unless you intend it to be public.
Internal member information
Approved members may provide a preferred name, member image, role, time zone, skills, instruments, production abilities, software, current projects, collaboration availability, help wanted, an internal biography, contact preferences and private links. Internal profiles are intended only for authorised members and administrators.
Content and uploads
We may process posts, releases, music information, YouTube links, images, artwork, audio, videos, comments, replies, tags, external links, rights declarations, filenames and technical upload information. We may record who supplied or manages content, when it was added, and whether it is published, hidden, archived or removed.
Group chat and direct messages
Private communications may include message content, participants, timestamps, read status, replies, edits, deletions, reports and moderation records. Messages are not guaranteed to be end-to-end encrypted. Private messages are not intended to be read routinely by administrators, but authorised staff may review reported messages and relevant context to investigate abuse, protect users, enforce the Terms or comply with law.
Comments, reports and contact forms
When you comment, report content or contact us, we may collect your account identity, the content supplied, relevant content identifiers, report reasons, moderation actions, your name, email, organisation, enquiry details, artist of interest, website, IP address and browser information for security and anti-abuse purposes.
Automatically processed information
Standard server and security information may include IP address, browser and device information, requested pages, session identifiers, login events, error logs, security events, rate-limit information, referring page and access times. Cloudflare or a similar security or content-delivery provider may process additional network and anti-abuse signals if enabled.
Why we use information
We use information to authenticate users, operate accounts, assign access, publish artist profiles and content, operate releases and the persistent player, provide comments and messaging, deliver notifications, review initial profiles, process reports, moderate content, answer enquiries, prevent abuse, maintain backups and audit records, diagnose faults, meet legal obligations and preserve legitimate Resonant Records history.
Cookies
We use strictly necessary cookies for sessions, authentication state, security, anti-forgery protection and required preferences. We do not use advertising, marketing or cross-site behavioural tracking cookies. Blocking essential cookies will prevent sign-in and may disable other functions.
Who we share information with
We do not sell personal information. Information may be handled by the website host and database provider, Google authentication, YouTube embeds and metadata, the configured email provider, Cloudflare or similar protection where enabled, limited technical contractors, and legal authorities where disclosure is required or reasonably necessary.
YouTube embeds
Loading or playing embedded YouTube content may send information to Google or YouTube, including IP address, browser or device information, cookies, Google account information and viewing interactions. YouTube controls its own data practices.
Aggregate statistics, partners and sponsors
We may share aggregate or anonymised figures such as total visits, releases, tracks played, audience activity, platform growth or link interactions. These figures are intended not to identify individual users. We do not give a sponsor or partner your name, email, account details or private messages unless you clearly consent or disclosure is legally required.
What is public
Public information may include artist names, images, biographies, genres, public location, platform and merchandise links, posts, releases, artwork, videos, public comments, booking details and other artist-selected public information. Google account identifiers and email addresses are not displayed unless you deliberately enter an email into a public field.
What is private
Internal profiles, private contact preferences, group chat, direct messages, drafts, unpublished content, reports, moderation notes, administrative notes and account-security information are restricted according to roles and permissions. No internet-connected service can guarantee absolute security, but Resonant Records uses reasonable measures to restrict access.
How long we keep information
We retain information as reasonably necessary to operate accounts and artist features, preserve release history and credits, resolve disputes, investigate abuse, enforce rules, maintain backups and meet legal, security or moderation obligations. Some deleted material may remain temporarily in backups until normal rotation removes it.
Account closure and label history
Closing an account does not necessarily require removal of legitimate public label history. Resonant Records may remove private access, remove editing access, hide or archive a profile, keep approved releases public, preserve credits, transfer content management, and retain audit or moderation history where lawful and appropriate.
International processing
Providers used by the platform may process information outside Australia or outside your country under their own privacy frameworks and safeguards.
Security
Measures may include secure authentication, access controls, HTTPS, protected sessions, server-side authorisation, rate limiting, audit logging, secure file handling, backups and moderation tools. You are responsible for securing your Google account and devices.
Your choices and rights
You may ask us to explain, access, correct, delete, restrict or stop eligible processing, close your account, update public information or withdraw consent where processing relies on consent. We may verify your identity before acting. Depending on where you live, you may also complain to a privacy or data-protection authority.
Age and children
You may browse publicly at any age. You must be at least 13 to create an account or sign in, and at least 18 to submit or publish a video or use private creator and member messaging. The platform is not directed to children under 13. Contact us if you believe a child under 13 has supplied personal information.
Changes
We may update this policy as Resonant Records and the platform develop. The date shown on the page identifies the current version. Continuing to use the platform after a change means the updated policy applies.
